A service calendar that remembers for you
We build a list of your customers' systems with the last visit date and the interval you set. As a service comes due, the AI drafts a reminder with a suggested date; you approve it and it goes out.
AI for HVAC companies, as AI per Aziende builds it, is a set of custom tools for heating engineers and HVAC firms that install and service boilers, air conditioning and heat pumps; we are an Italian software studio. The AI tracks when each customer's system is due, drafts reminders, quotes and service reports from your notes, and sorts incoming enquiries; you check and approve. The first step is a free half-hour intro call.
Quiet months, then the first cold snap brings postponed services, broken-down boilers and people who suddenly remember their annual check. Loyal plan customers end up queuing behind first-time callers.
Who is due this month, whose heat pump needs a spring visit, who asked to hear from you in September: when that list lives in a notebook, the visit doesn't get booked and the plan quietly lapses.
The round is done, but readings still need typing up, records need updating and refrigerant work needs logging. It's necessary, it's unpaid, and it eats into your evenings.
One message says 'boiler's not working', another asks what a heat pump costs, a third wants to know whether to replace the whole system. You can't tell the emergency from the browser without phoning each one.

Standing at the boiler, you say or type what you measured and checked. The AI arranges the readings into your report layout, so all that's left is to review them and sign.
Every AC or heat pump installation, repair or leak check you mention is added to a running list with the date and equipment. Whatever paperwork your rules require, the details are already collected in one place.
The assistant on your website, WhatsApp and Telegram asks for make, model, the error code and a photo of the data plate, then tells a breakdown apart from a quote request. You get a tidy summary with what you need to decide.
From your survey notes, the AI drafts a quote with your line items and prices, plus a list of documents the customer may need to gather. You review it and decide when it goes.
If part of your work is still done by hand, we turn it into a tool. We start from how your team actually works, not from a package designed for another trade.
Three steps, and the first one is a no-strings conversation.
A half-hour video or phone chat, ideally before the heating season kicks off. Walk us through how you track services, reports and breakdown calls now, and we'll point out which steps AI can take on and which it can't.
We start from an extract of your customer list and the service intervals you use, and build a first version you can try on a few real visits. Only then do you decide whether to carry on.
It goes into your engineers' daily rounds and we tweak it whenever an interval or a message needs changing. Reminders, quotes and drafts sit waiting for your go-ahead before anything is sent.
Reminders, quotes and report drafts wait in a queue until you approve them. Nothing is sent in your company's name automatically.
Our work is building things: WhatsApp and Telegram bots, management tools, programs that process your data. Three industry-specific management platforms we designed ourselves are live today.
The data, configurations and documents produced for your business become yours once the project is paid for, and your customers' data is never used to train other models. Ownership and licence terms are set out in our Terms.
Yes, though the useful version is a tool shaped around your business rather than one app to download. For an HVAC contractor, AI helps most with keeping service intervals, drafting reminders and service reports from your notes, and sorting enquiries before you call back. AI per Aziende builds it to fit your company, and nothing goes out until you approve it.
Start with a list of every system you look after, the date of the last visit and the right interval for each. With that, the AI tells you each week who is due and drafts a reminder with a suggested date. You approve the batch, customers reply in writing, and you plan rounds by area instead of chasing people one by one.
It can make sure no renewal slips. We build a record of each plan with its visit dates and renewal date, and the AI drafts the messages when a visit or renewal is coming up. You decide the wording, the price and who gets what. It won't negotiate for you, but it removes the memory work that lets plans lapse.
It prepares the draft, the engineer signs it. During the visit the engineer dictates readings and notes, and the AI organises them into your report layout. The engineer checks the figures and completes the record, so responsibility stays with the qualified person while the typing at the end of the day disappears.
It depends on team size and what slows you down. Off-the-shelf platforms such as Commusoft, Joblogic or simPRO cover scheduling, quoting and invoicing for many heating and HVAC firms. If your real problem is lapsing service plans, slow reports or a step no app covers, a custom tool makes more sense. We'll tell you frankly which route suits you when we speak.
It runs alongside it rather than replacing it. What we don't offer today is a direct connection to existing HVAC field service software, and we'd rather say that up front. The service calendar and reminders live in the new tool, which hands you quotes, activity reports and invoices as PDFs for your office or accountant.
It depends on the build. A service calendar with customer reminders is a modest project; a tool that follows several engineers, service reports and refrigerant records takes more. So there's no fixed price list. On the free intro call we pin down what you need and quote a clear figure before work begins, and if AI isn't the answer for your firm, you'll hear that from us first.
Thirty minutes, free and with no strings: we look at how you track service dates, reports and breakdown calls, and give you a straight view of what AI could handle and what it couldn't.
Thank you. We'll write to you to set up the call: we reply within 4 hours on working days (Italian time).
